A DFW commercial construction company had decades of contracts, SOPs, specs, and bids buried across their file server. I built an AI that reads all of them — and the CEO calls it the best employee he's ever had.

A DFW-based commercial fire protection contractor called me because he'd seen what I was building with AI systems. His company had been in business for nearly a decade, with hundreds of completed projects, thousands of contracts, and a file server holding over 700,000 documents.

The AI doesn't just search for keywords. It reads contracts the way their most experienced estimators do — flagging unusual terms, identifying scope gaps, catching risk language, and annotating documents with the kind of judgment that usually takes 20 years to develop. When a new contract comes in, the AI can review it in seconds and surface the things that matter.

Searches Any Document in Seconds

Ask it to find every change order from a specific project. Ask it for the SOP on a particular installation procedure. Ask it which GC had the highest change order rate last year. It searches across all 700,000+ documents and returns answers with sources — not just file names, but the actual content and context.

Executive Briefings on Demand

This is the one that changed everything. The CEO can now ask: "What's going on at the company this week?"

And the AI responds with an expert-level briefing — active projects, pending bids, recent change orders, open items, team status, and anything that needs attention. Not a dashboard with 47 charts nobody reads. A conversational summary from an AI that actually understands the business.

Email Intelligence

The AI is connected to six company email accounts. It can search email history, find conversations about specific projects or clients, and draft responses in the company's voice. When someone asks "what did we tell [GC name] about the Main Street project?", the AI finds the answer across inboxes in seconds.

Proposal and Bid Analysis

The system can pull up past proposals for similar projects, compare pricing across historical bids, and help estimators build new proposals faster by referencing what the company has done before. Instead of starting from scratch, they start from institutional memory.

The Technical Build

For the technically curious: this isn't a wrapper around ChatGPT. The system uses a custom MCP (Model Context Protocol) architecture with dedicated tools for each operational function — file search, document retrieval, email access, project querying, SOP lookup, contract analysis, and more.

The document index rebuilds automatically at 2 AM every night, so the AI always has the latest information. New files dropped on the server are indexed by morning. The system handles the company's actual folder structure — no migration required, no reorganization needed.

Skills are modular. I built a contract review skill that applies the same analytical framework their senior estimators use. I built a proposal drafting skill that follows their formatting and pricing conventions. Each skill can be updated independently as the business evolves.

The AI also has a human approval gate for any external communication. It can draft emails and summaries, but nothing goes out without a human saying "send it." The CEO was clear: this is an operations tool, not an autonomous agent making decisions on behalf of the company.
